Terms of Service

Our Services
Vanlo provides comprehensive freight forwarding and logistics services, including ocean, air, and ground transport, customs clearance support, and warehousing solutions. We act as an intermediary between shippers and carriers, and in some cases, we also serve as a direct carrier. Specific terms for each shipment, including rates and transit times, are confirmed at the time of booking.
Quotes & Booking
Quotes provided through our website or sales team are estimates based on the information you provide and are valid for 14 days unless otherwise stated.
Final rates are confirmed upon booking and may vary if shipment details (weight, volume, cargo type, destination) differ from what was originally provided.
A booking is only confirmed once you receive written confirmation from Vanlo, not upon submission of a quote request.
Your Responsibilities as a Shipper
You agree to
Provide accurate and complete information about your cargo, including weight, dimensions, and contents
Ensure your cargo is properly packaged for the mode of transport selected
Declare any hazardous, restricted, or regulated materials in advance
Provide all documentation required for customs clearance in a timely manner
Ensure you have the legal right to ship the goods in question
Failure to meet these responsibilities may result in delays, additional charges, or refusal of shipment, for which Vanlo is not liable.
Prohibited Items
Vanlo does not transport items that are illegal, hazardous without proper declaration and documentation, or restricted under international shipping regulations, including but not limited to: firearms and weapons, illegal substances, counterfeit goods, and undeclared hazardous materials. Shipments found to contain prohibited items may be seized, returned, or destroyed, at the shipper's expense.
Pricing & Payment
Rates are quoted in the currency specified at booking, unless otherwise agreed.
Payment terms (prepaid, net 30, etc.) are confirmed at the time of booking based on your account status.
Additional charges may apply for demurrage, detention, storage, re-documentation, or changes requested after booking.
Late payments may result in shipment holds, additional fees, or suspension of future bookings.
Delivery Timelines
Transit times provided are estimates, not guarantees, and may be affected by factors outside our control, including weather, port congestion, customs delays, carrier capacity, and regulatory changes. Vanlo will make reasonable efforts to notify you of known delays as soon as possible.
Liability & Insurance
Vanlo's liability for loss or damage to cargo is limited according to the applicable carriage terms (e.g., Hague-Visby Rules for ocean freight, Warsaw/Montreal Convention for air freight) unless additional insurance has been purchased.
We strongly recommend purchasing cargo insurance for shipments of significant value. Vanlo offers freight insurance as an optional add-on at booking.
Vanlo is not liable for indirect, incidental, or consequential damages, including loss of business or profits, arising from delays or shipment issues.
Customs & Compliance
You are responsible for ensuring your shipment complies with the import/export regulations of both the origin and destination countries. Vanlo will assist with standard documentation but is not responsible for customs delays, fines, or seizures resulting from inaccurate information provided by the shipper.
Cancellations & Changes
Bookings may be cancelled or modified before cargo is picked up or departs, subject to applicable cancellation fees.
Once cargo has departed or entered transit, cancellations may not be possible, and applicable charges will still apply.
Changes to destination, cargo details, or documentation after booking may incur additional fees and affect delivery timelines.
Claims Process
Any claims for loss, damage, or delay must be submitted in writing within 7 days of delivery (or expected delivery date, for lost shipments). Claims submitted after this period may not be honored. Supporting documentation (photos, packing lists, invoices) is required to process a claim.
Termination of Service
Vanlo reserves the right to refuse service, suspend an account, or terminate a shipping relationship at our discretion, including in cases of non-payment, fraudulent activity, or repeated violations of these Terms.
Limitation of Liability
To the maximum extent permitted by law, Vanlo's total liability for any claim arising from our services will not exceed the amount paid for the specific shipment in question, except where liability is governed by mandatory international carriage conventions.
Governing Law
These Terms are governed by the laws of NY, without regard to conflict of law principles. Any disputes will be resolved in the courts of that jurisdiction, unless otherwise required by applicable international shipping regulations.
Changes to These Terms
We may update these Terms from time to time. Continued use of our services after changes are posted constitutes your acceptance of the updated Terms. Material changes will be communicated to active clients where possible.
